How to Connect Facebook Leads to HouseCall Pro

Learn how to automatically sync Facebook Lead Ads to HouseCall Pro with LeadSync. New leads from your Facebook ads appear in HouseCall Pro's Job Inbox in under 60 seconds — no manual entry required.

Overview

LeadSync connects your Facebook Lead Ads directly to HouseCall Pro. When a homeowner fills out your Facebook lead form, their contact details are automatically created as a new customer in HouseCall Pro. You can start following up immediately from your HouseCall Pro app.

HouseCall Pro MAX Plan Required

HouseCall Pro only allows third-party integrations on their MAX plan. If you're on the Basic or Essentials plan, you'll need to upgrade before connecting to LeadSync.

What You Need

Before getting started, make sure you have:

  • A LeadSync account (sign up for a free trial — no credit card required)
  • A HouseCall Pro account on the MAX plan
  • A Facebook Business Page with Lead Ads enabled
  • At least one active Lead Ad form on Facebook

Step-by-Step Setup

1. Sign Up for LeadSync

Go to app.leadsync.me/signup and create your account. The free trial gives you full access to all features — no credit card needed.

2. Connect Your Facebook Account

  1. From your LeadSync dashboard, click Lead Forms
  2. Click Add New
  3. Click Connect Facebook and log in with the Facebook account that manages your ads
  4. Grant LeadSync permission to access your leads

Tip

Use the Facebook account that is an admin on the Page running your lead ads. If you manage ads through a Business Manager, make sure you grant access to that account too.

3. Select Your Facebook Page and Lead Form

  1. Choose your Facebook Page from the dropdown
  2. Select the Lead Ad Form you want to connect

LeadSync shows the form name, creation date, and lead count so you can confirm you've picked the right one.

4. Choose HouseCall Pro as the Destination

  1. In the Destination dropdown, select HouseCall Pro
  2. Click Connect HouseCall Pro Account

5. Authorize LeadSync in HouseCall Pro

A new window opens asking you to log in to HouseCall Pro:

  1. Enter your HouseCall Pro credentials
  2. Review the permissions LeadSync is requesting
  3. Click Authorize to grant access

You'll be redirected back to LeadSync with your HouseCall Pro account connected.

Info

LeadSync only requests permission to create new customers. It cannot access your invoices, scheduling, or financial data.

6. Map Your Form Fields

Match your Facebook form fields to the corresponding HouseCall Pro customer fields:

Tip

If your Facebook form collects Full Name as a single field, LeadSync automatically splits it into First Name and Last Name for HouseCall Pro.

7. Save Your Automation

Click Save. Your automation is now live. Every new lead from this Facebook form will be sent straight to HouseCall Pro.

Testing Your Connection

Before spending money on ads, verify everything works with a test lead.

  1. Open the Facebook Lead Ads Testing Tool (follow our guide for step-by-step instructions)
  2. Select your Facebook Page and the lead form you just connected
  3. Submit a test lead with sample data
  4. Wait about 60 seconds
  5. Open HouseCall Pro and check your Job Inbox for the new customer
  6. Check your email inbox for the LeadSync notification

Tip

LeadSync sends you an email notification (and optional SMS) every time a lead comes in — so you'll know immediately when a new lead arrives, even if you're out on a job.

What Happens When a Lead Comes In

Once your connection is active, here's what happens every time someone fills out your Facebook lead form:

  1. Facebook sends the lead to LeadSync (instantly)
  2. LeadSync creates a new customer in HouseCall Pro (within 60 seconds)
  3. LeadSync sends you an email notification with the lead's details
  4. Optional: LeadSync sends you an SMS alert if you have SMS notifications enabled

You get the lead in your CRM and a heads-up notification — all automatically.

Troubleshooting

Leads aren't appearing in HouseCall Pro

Check these common issues:

  1. Is your HouseCall Pro plan on MAX? API integrations require the MAX plan
  2. Is the automation enabled? Go to Lead Forms and verify it's toggled on
  3. Is the connection still active? Go to Connections and check for any error messages
  4. Check the logs — LeadSync logs every lead and shows any errors that occurred

Connection failed or expired

HouseCall Pro tokens can expire over time. To reconnect:

  1. Go to Connections in LeadSync
  2. Find your HouseCall Pro connection and click Edit
  3. Click Reconnect and re-authorize in HouseCall Pro

Some fields are missing from the customer record

  1. Edit your automation under Lead Forms
  2. Verify each Facebook form field is mapped to the correct HouseCall Pro field
  3. Make sure your Facebook form actually asks for the fields you're trying to send (e.g., if you want an address in HouseCall Pro, your Facebook form needs to collect it)

Frequently Asked Questions

Can I connect multiple Facebook forms to HouseCall Pro?

Yes. Create a separate automation for each form. This is useful if you run different lead forms for different services (e.g., HVAC vs. plumbing).

Does LeadSync check for duplicate customers?

LeadSync creates a new customer for each lead submission. If someone submits your form twice, two records will be created. You can merge duplicates within HouseCall Pro.

Can I pause the automation without deleting it?

Yes. Go to Lead Forms, find your automation, and toggle it off. Turn it back on anytime — your settings and field mappings are preserved.

How fast do leads sync?
