How to Set Up WhatsApp Lead Notifications

WhatsApp notifications let you receive lead details directly on WhatsApp the moment a new lead comes in. Every time someone fills out your lead form, LeadSync sends you a WhatsApp message with the lead's name, phone number, email, and any other form fields.

No Meta account or WhatsApp Business setup is needed on your end — just enter your WhatsApp phone number and you're good to go.

Setting Up WhatsApp Notifications

Step 1: Add a WhatsApp Connection

  1. Log in to LeadSync and go to your Connections section.
  2. Click the Add Connection button.
  3. From the Connection dropdown, select WhatsApp.
  4. Enter the WhatsApp phone number where you want to receive notifications. Include your country code (e.g. +1 555 123 4567).
  5. Give the connection a name for your reference (e.g. "My WhatsApp").
  6. Click Update Connection.

Step 2: Connect to a Lead Form

  1. Go to the Lead Forms section.
  2. Select the Page and Form you're running ads with.
  3. Choose the WhatsApp connection you just created.
  4. Click Update Notifications.
  5. Test your connection to make sure everything is working. This will use 1 credit.

That's it — you'll now receive a WhatsApp message every time a new lead comes in.

Save the number as a contact

Notifications are sent from +1 (650) 899-6930. Save that number to your phone contacts as "LeadSync" before your first lead comes in — every notification will then arrive under the branded name in your WhatsApp chat list instead of the raw US phone number.

What the Notification Looks Like

Each WhatsApp notification includes:

  • Header: "New Lead Generated"
  • Page name: The Facebook Page, LinkedIn Page, or ad account the lead came from
  • Lead details: All form fields the lead submitted — name, phone, email, and any custom questions

Phone numbers and email addresses are tappable — tap to call or email the lead directly from the notification.

Customizing What Appears in the Message

You can control which lead fields are included in the WhatsApp message body from Message Settings → WhatsApp.

  1. Log in to LeadSync and go to Message Settings in the left sidebar.
  2. Click the WhatsApp tab — it sits alongside the Email and SMS tabs.
  3. Scroll past the sample message preview to Hide fields from WhatsApp message.
  4. The fields are organised into three groups:
    • Ad metadata — Ad ID, Ad Name, Ad Set ID, Ad Set Name, Campaign ID, Campaign Name
    • Timestamps — Created Date, Created Time
    • Other — Platform, Form ID, Page ID
  5. Tick or untick fields as needed. Use the Select all / Deselect all links above the groups for a one-click sweep.
  6. Click Save Changes.

By default — for users who haven't yet visited the WhatsApp tab — every field in those three groups is hidden. This keeps notifications short and focused on the lead's contact details.

Form-submitted fields (Name, Email, Phone, and any custom questions on your lead form) are always shown and cannot be hidden — they're the fields you actually need to follow up.

Why are some fields hidden by default?

WhatsApp template messages cap the lead details block at 800 characters. Hiding metadata keeps long leads under that cap and the message readable on mobile.

These settings are independent from your email and SMS notification preferences. You can show every metadata field in your email and keep WhatsApp messages short, or any other combination.

Adding WhatsApp Credits

  1. Go to your Account section.
  2. Click on the WhatsApp tab.
  3. Select the number of credit packs you'd like. Each pack is $5/month and gives you 200 credits. Credits reset at the start of each billing cycle.
  4. Click Update and you're done.

FAQ

What number do WhatsApp notifications come from?

Notifications are sent from LeadSync's own WhatsApp number. You don't need to set up your own WhatsApp Business account.

Can I use WhatsApp alongside email and SMS notifications?

Yes. WhatsApp, email, and SMS notifications are completely independent. You can set up all three on the same lead form if you like — each one will fire when a new lead comes in.

What happens when my credits run out?

WhatsApp notifications will stop sending until your credits reset at the start of your next billing cycle, or until you purchase additional credit packs. LeadSync will send you a reminder email when your credits are running low.

Do I need a WhatsApp Business account?

No. You just need a regular WhatsApp account on your phone. Enter the phone number associated with your WhatsApp account when setting up the connection.

Which lead sources support WhatsApp notifications?

WhatsApp notifications work with leads from Facebook, Instagram, LinkedIn, TikTok, and Google Ads — the same as email and SMS notifications.

Does testing the connection use a credit?

Yes, each test message uses 1 WhatsApp credit.

Can I change what appears in the message body?

Yes. Go to Message Settings → WhatsApp and toggle individual fields under Hide fields from WhatsApp message. The message structure (header, "from page name") is locked to LeadSync's pre-approved Meta template, but you control which lead-info fields make it into the details block. Form-submitted fields (Name, Email, Phone, custom questions) are always shown.
